Manage Absences

Granting a User Permission to Manage Absences

To allow a user to manage Absences, you must first assign the appropriate permission in the platform settings.

Steps to follow to grant permission

1. Go to Settings:
From the main menu, open the platform Settings section.
2. Open the License Management section
In the settings menu, click on License Management.
3. Select the relevant user:
Locate the user you wish to assign permissions to and click on their email address.
4. Go to the License and Permissions tab:
This tab allows you to manage the user's access rights.
5. Assign the appropriate permission:
You will see two types of permissions related to absence management:
  1. "Manage all absences":
    Allows the user to manage absences for all employees in the company or on their project (ideal for a superintendent or manager).
  1. "Manage my absences":
    Allows the user to manage only their own absences (useful for an employee who wants to report a planned absence).

Typical use cases

  1. A Manager may be granted permission to manage the entire team’s Absences.
  1. An Worker with a Timesheet license may be allowed to manage their own absences, for example, to indicate upcoming time off.

Adding an Absence for a Company Employee

Record an absence for an employee

1. Open the Absences menu:
From the homepage of the Dreeven platform interface, open the main menu (blue bar) and click on Absences.
2. Navigate between weeks:
Once in the Absence Management interface, use the week selector to choose the desired period.
3. Add an absence:
  1. Click the Add button at the top right of the screen
  1. A selection window will appear — choose the relevant employee
  1. After selecting the employee, a new window will open where you can:
    - Select the absence date
    - Add an explanatory note
4. Save the absence:
  1. Click Save
  1. A red badge labeled “Absent” will appear on the selected date in the calendar

Adding a Second Absence on the Same Day

If an employee already has an absence recorded for a given day, you can:
  1. Click Add from the Absences calendar
  1. Enter a new note
  1. Click Save to add the second absence

Editing or Deleting an Absence

  1. Click the “Absent” badge in the calendar to open the absence details
  1. You can then:
    - Edit the note
    - Delete the absence

NotesImportant note: The absence date cannot be changed once the entry is saved. If the date is incorrect, delete the absence and create a new one.


Viewing Absences in the Dispatch Interface

Absences recorded in the Absences tab are automatically visible in the Dispatch interface.

Viewing an Absence

  1. When an employee is marked absent for a day, a red calendar icon with a cross appears in the Dispatch interface on the corresponding date
  2. By clicking this icon, the dispatcher can view the absence details

Conflict Warning with Assigned Shifts

  1. If an absent employee is still assigned to a shift, a red alert will appear at the top of that shift block, indicating a discrepancy in the number of available workers.
  2. This helps the dispatcher quickly identify and resolve conflicts related to Absences.

Importing Assignments When Creating a Daily Report

When creating a Daily Report, it is possible to import Dispatch blocks for a given day.

Absence Display in the Report

  1. If an employee included in an assignment block is absent that day, the absence will be automatically displayed in the report.
  2. A red calendar icon with a cross will appear next to their name, indicating their absence.

Viewing Absence Details

  1. By clicking the red calendar icon, you can view the absence details

Viewing Absences in a Daily Report

In both views of the Daily Reportregular mode and grid mode — a dedicated section now shows team member absences.

Absences Section

  1. A new section named Absences appears in the team members area
  2. Only employees who are absent on the selected day will be listed
  3. This section is available in both report modes

Adding an Absence from the Report

  1. If you have permission to manage Absences, an Add button will appear on the right side of the Absences section.
  2. By clicking this button, you can directly record a new absence from the Daily Report.

Editing or Deleting an Absence

  1. Click on the employee’s row in the Absences section to open the absence management form.
  2. You can then:
    - Edit the note
    - Delete the absence, if needed
